Privacy Policy

Information We Process

Depending on the features you use and your organization's configuration, the App may process:

• Account and work identity: username, employee or user ID, name, company and branch identifiers, role or organization details, and login credentials used to authenticate you. The App sends the username and password you enter to the configured authentication service; it does not intentionally save your password in the App's local storage.
• Location and attendance: precise latitude and longitude, location address where available, employee ID, and associated date and time. Location is used for attendance check-in/check-out, travel records, farm visit verification, and employee location reporting.
• Background location: after sign-in, the App can schedule background location updates. When the operating system grants the necessary location permission and the device provides a location, the App may send your coordinates, employee ID, date, and time while the App is in the background or is not open. Android and iOS control when background work runs, so updates are not guaranteed at an exact interval. You can manage or revoke location access in your device settings; location-dependent features may then be unavailable.
• Farm and business records: information you enter or view in the App, such as farm, shed, farmer, flock, feed, mortality, observation, maintenance, travel distance, and related operational records. These records may identify employees, farmers, or other people connected with your organization's operations.
• Photos: images you choose to capture with the camera for work records, including mortality/feed and travel entries, and other record forms that offer photo capture. The App uploads a selected image with the associated record. Images may be held in the App's private device storage while a record is being prepared or submitted.
• Diagnostics and technical data: the App and its service providers may process request, error, and server logs needed to operate, secure, and troubleshoot the service. Such logs may include technical details such as request time, network address, or response information, depending on the server configuration.

The App requests camera access to capture work-record photos and location access for the features described above. The App's code also includes biometric-authentication support; where this feature is enabled and used, biometric matching is handled by your device's operating system. The App does not receive your biometric template.

How We Use Information

We use information to:

• authenticate authorized employees and connect them to the correct company or farm;
• provide attendance, location, travel, farm inspection, mortality, feed, reporting, and related operational features;
• submit records and photos to the applicable company service;
• maintain, secure, troubleshoot, and improve the App and its services; and
• respond to support, privacy, or legal requests.

How Information Is Shared

Information is shared only as needed for these purposes, including with:

• Your employer or organization: the company that provides your account and its authorized administrators may access information submitted through the App, including work records and location/attendance information.
• Configured service providers: the App sends account and operational data to the API services configured for your organization. Its current code also sends employee location updates to ksagrovet.com. The service operator and your organization determine how server-side records are managed. Ask your organization which provider operates its configured services.
• Service and infrastructure providers: providers that host, transmit, or support the App's backend may process information on our or your organization's behalf.
• Legal or safety recipients: information may be disclosed when required by law or when reasonably necessary to protect users, the organization, or the service.

We do not sell personal information. The current project dependencies and source code reviewed for this policy do not show advertising or analytics SDKs. This statement should be rechecked if the App or its backend configuration changes.

Storage, Security, and Retention

Some account and application data is stored on your device, including in app-local storage and secure device storage. Work records and photos may also be stored by the organization's services. We use reasonable measures intended to protect information, but no device, network, or storage method can be guaranteed completely secure.

We retain information for as long as needed for the purposes described above and as directed by the organization that manages your account, subject to applicable legal requirements. Retention periods for server-side records are determined by that organization and its service providers; contact your organization for details. Signing out clears local account/session storage used by the App and stops the configured background fetch service, but it does not itself delete records already sent to a server. App-private photo files may not all be removed by signing out.

Your Choices and Requests

You can manage camera and location permissions in your device settings. Turning off location may prevent attendance, travel, or background location features from working. Background location updates are scheduled only when the App has a signed-in user and the required device permission is available.

Because accounts are provided for organizational use, contact your employer or organization administrator to access, correct, or delete work records or to close your account. You may also send privacy questions or a deletion request to contact@codespiraltechnologies.com. Include your organization and enough information to identify your account, but do not send your password. We will coordinate with the organization responsible for the relevant records. Some information may need to be retained for legitimate business, security, or legal reasons.

Children's Privacy

The App is intended for authorized adult employees and business users and is not directed to children. We do not knowingly design the App to collect personal information from children.

International Processing

Your information may be processed in the country where your organization or its service providers operate. Those locations may differ from your own. Your organization can provide information about the servers used for your account.

Changes to This Policy

We may update this Policy when the App, its services, or applicable requirements change. The updated version will be made available at the privacy-policy URL listed in the App Store and Google Play listings, with a revised effective date.
